What happens if I have to withdraw from the Institute?
Please get in touch with us a soon as possible. The general terms and conditions for online sale are available via the cancellation policy. They cover the ability to withdraw and the refund you would receive. Please note that in relation to the Summer Institute there are two variations to these general terms and conditions. There is a new clause 6.4, and clause 7.5 below replaces clause 7.5 in the general terms and conditions.
"6.4 If we are unable to deliver the goods and/or services as intended for any reason, including health-related disruptions, natural disasters or major incidences such as storms, floods, earthquakes and extreme weather conditions, we will refund you as much of the fee as we reasonably are able."
"7.5 Notwithstanding clause 7.2, in the case of course or conference Products, you may cancel the Order up to two weeks before the start of the course or conference. After cancellation we will refund the following proportions of the fee.” The periods reference the day on which we receive your notification of cancellation:
7.5.1 More than 4 weeks before the start date: 75%
7.5.2 2-4 weeks before the start date: 50%.
7.5.3 Less than 2 weeks before the start date: 0%
All refunds are made in UK Sterling, to the card that was used to make the original payment. We cannot refund any shortfalls due to exchange rate fluctuations or offer compensation for any bank or other charges incurred.
Cancellation policy for accommodation at Jesus College
The periods reference the day on which we receive your notification of cancellation:
· Up to 90 days notice – 0% of total charge
· 90-60 days notice – 50% of total charge
· 60-30 days notice – 75% of total charge
· 30-0 days notice – 100% of total charge
Visas
Applicants who need visas will be provided with a letter of acceptance. Applicants in need of a visa are encouraged to begin the visa process as soon as they receive notification of acceptance, as there are frequently unseen delays in the visa application process.
COVID-19 protocols
The Institute is held in person. At the moment we are not planning to offer any online or hybrid versions of the programme. The Institute has been running for over 20 years and one of the most special aspects is the comradery and social ties that are built through spending time together after seminars and over breakfast.
The UK government regularly publishes guidance on travel to England from another country during Covid-19. The Institute will operate in line with UK government guidance and University guidance regarding Covid-19 protocols at the time.
In the unlikely event that we (the organizers) must cancel the Summer Institute due to Covid-19, tuition fees will be returned, and as per Jesus College’s accommodation policies mentioned above, accommodation fees will be returned depending on the cancellation date. Unfortunately, we cannot be held liable for any personal travel costs or separate accommodation costs. If accepted participants are unable to attend (for whatever reason), the remaining tuition fees will be refunded (minus the deposit) if cancelled more than 4 weeks before the start date of the Summer Institute.
Certificates
All participants who are fully engaged in the programme will receive a Certificate of Attendance from the University of Oxford during a small ceremony at the end of the programme. At this stage we cannot offer course credit although we are available to provide letters to your institution explaining the course, what you have achieved, and accomplished during the programme.
